If you use an external CRM tool (ex: HubSpot, Less Annoying CRM, Monday, Zoho, etc.), as most Trust Home Loan customers do, then you will likely want to set up this automation feature. While THL does offer a manual export of any introductions that come into our tool, setting up an automation means that for every new introduction that arrives, it will automatically get pushed into your CRM tool of choice.
Minimum requirements:
A Zapier, Make, or similar automation account
Note that most of these require a paid account to use “webhooks” (req’d)
A CRM that allows for automatic importing of external data
The following screenshots will show Zapier and HubSpot as the CRM, but for most steps, any tool will be very similar to what you see here.
Open your active Zapier account and CREATE a new zap (automation). Most tools offer AI that can help you along the way.
For “Trigger”, choose WEBHOOK
For “Action”, choose HubSpot (or your CRM)
The webhook trigger event should be “Catch Hook” - this means when new data arrives in THL it is ‘caught’ and sent through. You can skip the next ‘configure’ step, by clicking Continue.
On the Test step, you’ll see your custom webhook URL. Copy this and paste it into THL, under Settings → Webhooks.
Here’s how it looks in THL (below). Paste your URL (not the one shown) and click Test. If it responds with test successful, then click Save.
You can return to Zapier and complete the webhook test and completion before moving on to the CRM step.
On the Action step setup, choose “Create or Update Contact” as the action event. Then sign in to your CRM (if it’s integrated to Zapier). If your CRM is not already integrated, then you may have to go through more steps to connect it to Zapier. You’ll need to follow your CRM’s instructions or seek help from their customer support team.
For integrated apps you’ll see a login/confirmation pop-up workflow like the one below.
In order to configure the automation, you will be prompted to complete at least one required data field - usually email. Click the plus “+” in Contact Email, and then scroll to find “Data Email Address” - this is the contact email for your introductions in THL.
You can then continue and run the test to pull one example data record across to your CRM. As you can see below, the test@example record appeared in my HubSpot account.
All that remains is to click "Publish" in Zapier, and your automation will be live and running, watching for new data coming into your Trust Home Loan dashboard.
Please note that there are multiple settings inside of Zapier or other automation tools, and we highly recommend you go through and check the settings for your automation. Depending on the level of your paid account, you may only have a certain number of times per day that your automation can check for new data. If you set the number of times it checks per day too high, you could use up all of your automations for the day, week, or month. Please consult the full instructions and help within Zapier (or whatever tool you're using) to make sure that you're using it in the most appropriate way possible and in the most cost-efficient way.
